Reports

Time report โ€” /reports/time

The main daily/weekly admin view. Every event captured or imported is queryable here.

Views: - Summary โ€” grouped by Client โ†’ Project โ†’ Description, like Clockify's Summary xlsx. Top of the view shows two donut charts: hours by project and hours by category (current filter + date range). Hover a slice for the exact hours/percent. - Detailed โ€” one row per event, fully filterable - Weekly โ€” pivot of employees ร— days, with a stacked-bar chart on top showing hours per day stacked by project (top 8 projects + "Other"). Hover a bar segment for the hours.

Filters: the filter bar has a primary row that's always visible and a More filters panel that stays collapsed until you need it (it opens automatically when any of its filters are active, and the button shows a count so you know refinements are applied). - Primary row: Date range (Today, Last 7/30/90 days, YTD, All time, custom) ยท Employee ยท Customer ยท Project ยท Group by ยท Apply / Reset - More filters: Category ยท Work type ยท Department ยท Tag ยท Free-text search (matches window title, app, note) ยท Rounding (off / 5 / 6 / 15 / 30 / 60 min, Clockify-style round-up) - Switching date presets or the Summary/Detailed/Weekly tabs now keeps all your other filters โ€” they no longer reset. - The From / To boxes always show the dates the report is actually covering, even when you picked a preset โ€” so "Last 30 days" reads as the concrete range.

Who sees what: managers see their team; admins and HR-access holders see the whole company (HR sees hours only โ€” no amounts or rates without Finance access); everyone else sees their own hours. In Ask OtiumWork, the same people can ask about anyone's tracked and unassigned (no-project) time for a period โ€” e.g. who had the most untagged time last week? A salesperson named on a project also sees everyone's hours on the projects they sold โ€” pick the project and a period (e.g. This month) to see what's been worked before billing or calling the customer. Hours only; other projects stay hidden. The project page's Hours on this project โ†’ link opens exactly that view.

Empty result? If the filters match nothing in the chosen dates but do match work outside them, the page says so โ€” "The same filters hold 42h across 118 entries between 3 Mar and 28 Aug" โ€” with one-click Last 30 days / All time buttons to widen the window. A plain "No entries match those filters" means there's nothing for that combination at any date.

Group by & drill-down (Summary view): pick how to slice the totals, then expand any row to drill in: - Project โ†’ drills into its tasks - Client โ†’ Project โ†’ client/project rows, each drilling into tasks - Customer โ†’ a customer's total, drilling straight into the tasks their time went to (each task is prefixed with its project), plus a "break down by project" expander - Employee โ†’ a person's total, drilling into their tasks (project-prefixed), plus a "break down by project" expander - Department โ†’ projects; Department โ†’ Employee โ†’ who contributed - Every row also offers a "break down by category" expander.

Exports: the file matches the tab you're on โ€” Summary, Detailed or Weekly โ€” with the same filters and date range as the screen. The view is in the filename (otiumwork-time-report-detailed-โ€ฆ.csv) so the three are easy to tell apart. - CSV โ€” plain text, Excel-compatible - XLSX โ€” Summary matches Clockify's Summary xlsx column layout so existing spreadsheets keep working; Detailed is one row per entry; Weekly is the employees ร— days pivot. - When a Group by is active, the Summary CSV/XLSX mirror the on-screen layout: one group-total row followed by its indented drill-down rows (tasks / employees / projects). - Large Detailed exports: XLSX is capped at 50,000 entries (it's built in memory). Past that, use CSV โ€” it streams any size. - Money columns (Amount, rates, cost) appear in the export only for users with finance access โ€” the same rule as the screen. Everyone else gets hours only. - Window titles in the Detailed export are sanitised so a title starting with = or + can't run as a spreadsheet formula. - Print โ€” print-friendly view via the Print button

KPI row: Total hours, Billable, Amount ($ โ€” finance access only), Entries.

Pre-sales investment โ€” /reports/presales

Shows pre-sales ROI across all clients. KPIs: - Active prospects count + hours invested in open deals - Converted clients (prospects that signed) + billable hours they produced - Archived clients (lost or dropped) + sunk pre-sales hours - Win rate (converted รท closed)

Per-prospect table with "Mark won" / "Lost" quick-action buttons that update client stage.

Clockify history (legacy)

If your company imported historical Clockify data, those rows now live in the same work_event table as real-time capture and show up naturally in /reports/time. No special section needed.

Scheduled reports โ€” /admin/reports (admins)

Admins can configure weekly/monthly digest emails that send a specified report to a list of recipients.
